Managing Users
User management in Hi Marley allows admins to add, update, and deactivate users, assign roles, and manage group membership.
To access user management, navigate to:
Settings → Team Management → Users
Only users with the appropriate admin permissions can access Team Management settings.
User Information & Required Fields
Each user profile in Hi Marley includes the following information:
Required Fields
First Name
Last Name
Email Address
The email address is used as the user’s unique identifier and cannot be updated via bulk import.
Optional Fields
Title
Phone Number
Office Line
Unique ID (often used for SSO implementations)
If your organization uses a Unique ID instead of email for identification, coordinate with your IT team to ensure values are consistent. To determine if it makes sense to utilize custom unique ID's, Hi Marley recommends consulting with IT professionals at your organization.
Add New Users
Admins can add users individually or in bulk.
Add a Single User
Navigate to Settings → Team Management → Users
Select Invite User
Enter the user’s information
Assign roles and group membership as needed
Send the invitation
The user will receive an email invitation to activate their account.
Add Users in Bulk (CSV Upload)
Bulk import allows admins to add or update multiple users at once using a CSV file.
Navigate to Settings → Team Management → Users
Select Actions -> Import Users
Upload your completed CSV file
Choose whether to ignore or update existing users
Confirm and run the import
CSV Import Requirements & Field Definitions
Before uploading a CSV file, review the following high-level requirements:
File type must be CSV
Maximum file size: 50 MB
Maximum rows per import: 5,000
First Name, Last Name, and Email are required
Email addresses are used to identify existing users and cannot be updated
Import errors will prevent the upload from completing

Roles |
This captures the roles associated with the user. This field will only accept roles that are already configured for your organization. Roles should be separated by a comma to add multiple at a time. |

This captures the Groups associated with a user. A user can’t not be a member of a group they lead. This field can also create new groups on the import. Groups can be separated by a semi colon ; to add multiple groups at a time. |

Manage Users Table
The Users table provides a centralized view of all users in your organization.
From this table, admins can:
Sort users by name, email, or last active
Filter users by role, group, or status
View users with multiple roles or group memberships
Export the current user list for reporting or bulk updates
Deactivated users remain visible in the table and can be filtered separately.
FAQ
Q: Can I assign the System Admin role using Bulk Import?
A: No, the System Admin role cannot be assigned via Bulk Import. This role must be added manually in the app.
Q: Does adding a name under the 'Group Names' column create a new group?
A: No, adding a name under the 'Group Names' column does not create a new group. This action only modifies existing group memberships.
Q: Can I delete groups using Bulk Import?
A: No, groups cannot be deleted using the Bulk Import method.
Roles & Permissions
Roles determine what actions a user can take within Hi Marley.
Roles can be assigned when adding or editing users
Multiple roles can be assigned to a single user
Some roles (such as System Admin) must be assigned manually and cannot be added via bulk import

Actions
Edit a User Profile
Admins can edit a user’s profile to update:
Name
Title
Phone information
Roles
Group membership
Changes take effect immediately.
Deactivate a User
When a user no longer needs access to Hi Marley, you can deactivate their account.
Navigate to Settings → Team Management → Users
Click the three ellipses (three dots) associated with the user
Choose Deactivate User
Confirm the deactivation
Deactivated users:
Cannot log in or send messages
Remain visible in the Users table for record-keeping
Can be reactivated later if needed
